On Friday, you use the Daily Reports to prep for the coming
weekend and/or week. The Reservation Report is run to see what
jobs will be delivered or picked up. Delivery and Pickup Tickets
are printed for the upcoming jobs for your driver.

Monday - Today's reservations are converted to contracts with
a click of the mouse. An invoice can be generated now or upon
return of the goods. |

The phone rings. A customer would like quote for a corporate
event. His/her customer information is entered on the fly, along
with the desired items. Delivery/pickup charges are added and
the quote is printed, or emailed right from your computer.

A customer walks in to purchase some party goods. One of your
employees quickly scans the items (if you choose to use barcodes)
as you would in any retail situation and prints a receipt or
full-size invoice. |

Your Rental Manager runs the Due Item Report. On it he identifies
items that are overdue and contacts the customers (the contact
name and phone number are conveniently located on the report).

One of the company's drivers walks in with signed pick-up tickets.
An employee takes a pickup ticket and quickly process the return
of goods. He/she sees that there is a shortage on the number
of chairs returned on a particular ticket. The employee continues
to process the partial return. The system automatically displays
if this job has been fully billed or paid for. If not, it brings
up a prompt for a method of payment. The system keeps track
of the contract as "Open". The balance of the items must be
accounted for by being returned at a later time or marked as
Lost or Damaged, at which point the customer can be charged
for the items. Once all items are accounted for, the contract
is automatically marked as "Closed". Meanwhile, you leave the
store for some appointments. |

A couple walks in the store for their event-planning appointment.
They are preparing for their wedding for next June. One of your
event specialists sits down with them, enters their information
and reservation date and uses the convenient Rental Item Worksheet
to quickly see a list of items, perhaps just Linens to start
off with. The specialist scrolls down the list, entering 15
Hunter Green table cloths, 15 coordinating Gold/Hunter Damask
Squares, and 150 matching napkins. They then move on to china,
flatware, accent pieces, etc. The couple mentions that they
would like a tent. Your specialist quickly brings up a list
of available tents for that date. As a tent is selected, the
system automati cally displays add-on kit accessory items such
as lights, heaters and more. The couple makes their selections,
gives a deposit and leaves with a printed copy of their reservation.

Meanwhile, your employee responsible for inventory runs a Purchase
Advice Report for suggested items that have hit reorder levels,
are out-of-stock or are forecasted for re-order based upon actual
sales history. Purchase Orders are generated. |

A UPS shipment arrives with sale merchandise that you have ordered.
Before an employee stocks the warehouse or store shelves, a
Receiving is quickly processed in Universal's Purchase Order
module and all items are updated with the correct quantities.
Any back- ordered items will be tracked by the system.

The customer who called regarding a quote is calling to accept
the quote with a few changes. Your employee quickly calls up
the quote and, with one click, converts the quote to a reservation
or contract and makes the necessary changes to reservation date,
items and/or quantities. |
3:00 PM |
You return from your appointments at 3:00 p.m. You go to your
computer, click Daily Sales Summary, and immediately know how
much cash, check, credit card, and billing business has been
done so far today. |

Your company Controller runs an interim set of financials statements
and, in seconds, has an up-to-the minute Balance Sheet, Income
Statement and Trial Balance. He runs a Budget Comparison Report
to see if they are on target. |

The day is almost over. In preparation for tomorrow, you run
Delivery and Pickup tickets for tomorrow's activities.

The store is now closed. You click one button and run the Day-End
Reports. In seconds, you will receive a full recap of the day's
activities along with month/year-to-date totals, including gross
profit margin analysis on sales items, sales summaries by category
to know which categories are performing and which may need marketing
as well as cash, check, credit card reconciliation information
and Accounts Receivable & General Ledger posting details.
